I know about pennsic. I have known about it ever snce I started medieval recreation. There was a tv program about what americans do. And Pennsic was filmed. Of course the person talking had no clue what he was talking about. And pretty much made fun of Pennsic.

Post subject: Updates!
During a casting call at Middlefaire yesterday (June 19) we did a brainstorming session on the LARP project, and I wanted to post an update with this information!
Part of our site is relatively wooded, and we have decided that this wooded area will be the site for our primitive faction camp. It's going to take some work to clean up and get ready, but we will be doing some "work weekends" down at the site to "civilize" the site for primitive use. [Clearing the brush, bushwacking some trails, etc.] It has a nice open area for a fire pit, drum circle and fight circle and a secondary area for tents/camping.
One of the things a re-enactment group that was at the casting call was suggesting to me is that we should push for no "modern" tents in the primitive camping area. As much as *eventually* I'd be interested in that idea, I will be honest in saying that I don't quite agree with it, at least for the 2010 vent. Now to be honest, if we have a whole bunch of re-enactor quality wedge tents and mabey two modern pup-tents in the primitive camp I might ask the two pup-tent owners to move their tent to the patron camping area. I know that it won't "help" the image we want to give for the event, but one does have to look at today's economy and that the cheapest "wedge" tent I found online is at least $200. If I were just going to be a participant and not part of the staff, I'd be discouraged from attending if we require more accurate camping gear. Now, we are thinking of building (as mentioned in the last paragraph) some yurt
style huts in the camp area and these would be open to participants to set up a sleeping bag inside...I would personally be aiming for them to be the size large enough to hold at least five people comfortably. [If anyone knows of a cheap place to get a wedge tent for less than $100, please let me know!]
Another thing we are thinking of doing is finding an inexpensive Viking-style longhouse tent that could also double as lodging for participants. This might cause the registration cost to be raised a bit to cover the cost of the tent, but it would give our participants an extra place to set up a sleeping bag.
Of course, there will be nothing that says that one can't just find a spot in the tent and just sleep right there on the ground.
One argument that came up when I mentioned that we would probably be allowing the modern tents during the first year is the thing of "You let it happen the first year, and then it'll be brought up the following years as "You let this happen on the first year, why won't you do it this year.". What I am planning to do is to put in the rulebook that for the 2010 event some things may be allowed that will not be allowed in future years (with no exceptions). This way we won't have this possible problem.
Now, as a point of reference, if more than half of the camp setups in the primitive camp is "traditional camps" and a few modern tents, we might ask the modern tent campers to move their tent to the patron camp area. Before anyone jumps on the "but the camping fees are part of the registration cost" bandwagon, the camping fees are $6/night on site. This is *regardless* of whether the participant is camping in the patron camping area in a modern tent or has a wedge tent and is set up in the primitive camping area, or using a spot in the yurt buildings or the longhouse tent.
We havn't quite figured out what we're going to do with the civilized camp, but that would definately be the more visible to the outside and we'd want it to be more "historical".
Another thing that came up is the thought of "what if all the participants want to be in the primitive army?" In the event of that, I will be starting work on a single faction storyline, as well as a storyline if there are just two sub-factions (possibly two warring primitive clans?)
Now, onto clearing the land to make it usable. What we're planning to do is to start looking at schedules and aim to do a few "land clearing" days on site. I'm toying with either a week-long thing (Starting on a Wednesday and going until Sunday) or several land clearing weekend long events. [I would imagine that there would be some LARP sparring or drumming in the evenings after the work is done.] In the evenings after work is done, we will not have any problems if anyone wants to be in garb. For safety reasons during the hours we're going to be working on the site, we'll be greatly discouraging it. One of the things that will also be built back there will be shower facilities. Currently, the faire has a paid shower booth run by one of our vendors...I think he charges something like $5 or $10 for a shower, but once we have the faire built shower booth, we will arrange for it to be open to anyone on cast and LARP participants, especially during these clean-up days.
I'm also toying (it's in discussion) with a land-grab situation where participants can arrive on the Thursday to clean up their sub-faction camp area and get it set up.
Finally, some things of naming interest....the actual event name is now going to be called "The Battle of Peltham Downs" (the name of the next village expansion that's going to be done at the site.) and we are going to call the item the armies are fighting over "The Eye of Pangea" [Name subject to change.]

Why don't you put up dividers/fences high enough to block out the view of the tents and fantasy looking gates on each campsite? Something as simple as a cloth divider would work.
Take a look at a few of the Pennsic Wars websites to see pictures of it.

In the UK, some big larps only allow modern-looking tents in an out-of-character area where no gameplay takes place, people just go there to sleep. That way the tents that are in the play area are all appropriate. As long as you've got a few appropriate tents coming that will make the IC area look inhabited, you could take this approach.
The assumption with that method is that it's okay for players to go to an OOC are at night to sleep, they don't have to stay IC.

On Elrad's suggestion about fences, that is an interesting thought and might be something we will be discussing for possibly next year's event (or a future year's event).
I actually more like RyanPaddy's thoughts. And that is one thing we were thinking of doing, if the modern tents were a minority in the camp areas. In fact, I'm planning on putting in the rulebook that those with modern tents should be prepared to move their tent to the patron camping area if asked. This way, we at least have something in the faction camping area. My brain is going on the thought of if we had at least 4 appropriate tents in the faction camp, then we'll move the modern tents to the patron camping area. [This would also benefit the festival itself because it will look like more people are camping.....normally it tends to be my [modern] tent and mabey two-three other tents.

Having to move tents after they're been set up will annoy players.
A clear policy is always good - I'd just tell people that X area is for one style of tent, and Y area is for another, and cross your fingers that you get enough suitably IC tents.

I didn't get any notification of a reply to the thread, so I guess I missed something!
Just a small update:
We are aiming for mid to late August for several work weekends to get the primitive camp area ready. Our goal is to have it usable during our renaissance festival. One of the things we also will be trying to do during the work weekends is to videotape a "trailer" video for the event to hopefully get a bit more interest (This is also being posted today in the Yahoo group, see link in the original post.). It will probably revolve around the two armies scouting the village with their leader.
One thing I am going to talk to the festival director about is some kind of incentive for the work weekends (possibly being the first to be able to register or to get the pre-registration price regardless of whether they register ahead of time or on-site on the weekend of the event. And since I have some free tickets to the festival available to me, I might give a few of them away! In a worse case scenario, we'll give the people that come to the work weekends some bonus during the event (like some extra armor or a "revive" during the main melee.)
I'll post the dates of the work weekends in our Yahoo group first once we decide on the dates, followed by coming to this thread and posting them here too!

Post subject: Video won't be taped until August.
The two-three work weekends at the site, where I am thinking of taping the trailer video, will be in August. I'm still actually working on a "script" for the video at the moment.
I'm actually thinking of making three different videos, two involving the leaders of the two factions discussing the "item" they're searching for and where they will find it, and the third being taped during our renaissance festival in September of an initial (small-scale) skirmish between a scouting force led by the two leaders arriving at the village.
I did create two additional yahoo groups, linked in the links section of the game's Yahoo group, one for each of the two factions.

These two are actually groups not for the development but for actual inter-faction communication (both in character and out of character with appropriate subject tags for Out of Character messages) and official news about the event. (We do have an exception for festival staff, such as myself, for posting news about the event and other important information.)
Sorry to edit my message, but I wanted to change the rulebook information. I finally completed the version 1.0 of the rulebook and have posted it to our main Yahoo group (http://groups.yahoo.com/group/Middlefaire_LARP), as well as the two faction yahoo groups. The football style game will hopefully be up later this week!

That sounds very interesting. I like champion style combat. Will there be very much for people to do on the sidelines though? The more people who play, the longer they'll have to wait, and it might get a little boring waiting around without much interaction.

Good question. I anticipate most of the people on the sidelines will be more spectators than participants (the event is being held at the same time as a fantasy festival on site, so we will have festival guests watching the events unfold on the battlefield. Also, the battle will only be done one time on the Sunday afternoon. There will be plenty of opportunity for our festival guests to visit the two faction camps and meet with the participants if they want (and there are quite a good number of other shows going on during the day that they will also be able to go to see.). And for the participants, the same situation applies, their registration includes admission to the fantasy festival so they can go over there, look at the shops we have, see a show or two, so I don't think there will be much of a concern about participants or spectators getting bored with the event (and if they do incidicate they're getting bored.....being part of the festival staff, I can try to drum up something to make things a bit more interesting.
