I am more interested in getting all the LARP groups in the area to collaborate on advertising and build more of a community. Right now, its all rather competitive. Maybe I should start a webring for the seattle larp groups....
I think offering to share your gear is really generous. Gear is one of the hardest things for new larps, and there's always value in sharing. The other difficult thing for startups is cash for venue deposits. In the US and the UK, it sounds like insurance is another biggie (here in NZ we don't need any insurance, it's one of the many advantages of universal health cover).
Personally, if I was running a larp in your area I'd be a little hesitant to become an affiliate of a group like yours which is focused on running one larp. It might seem a little subordinate, even though I know it's not really.
I'd be more inclined to sign up for something like a "Seattle LARP Society" that's a neutral body where everyone shares stuff with each other, and where everyone in the area can come to swap stories and share expertise. Larp is local, so it makes sense to have local online larp communities where people can chat about games they might actually be able to attend.
So my 2c is:
- make a website that's a nodal point for Seattle larp, call it something like "The Seattle LARP Society".
- have the heart of the website be a forum, with some general discussion areas
- also allow groups to have their own forums on that forum
- perhaps suggest that groups or individuals can pay a small amount to become official members of the society, and the funds will go towards the maintenance of the website and the accumulation of a pool of gear that any member will be able to borrow (within reason, with bookings, etc). Like a gear library that game runners or players can borrow from.
- also offer to lend your gear to official members
- potentially, have the society keep some funds set aside so that groups can borrow from the funds pool to pay for venue bookings, and then repay the borrowing when the event has run.
This is similar to the approach we've taken with
NZLARPS
, and it has worked for us. We're a national body with localised gear pools and a national funds pool. We do roughly what I've suggested above, but also allow groups to form as projects of the society, and the society fully funds their larp events but then also takes all the profit (i.e. they are community-owned games, but creative control sits with the people running them). However, that's something that can be done or not depending on local attitudes towards larp ownership.
In terms of legal structure, perhaps you could apply to become some sort of branch of the LARP Alliance. They're registered as a charitable NPO, and perhaps you could hang off that legal status? They might be able to assign you a bank sub-account so that funds could be kept independent of the Seattle branch manager. The manager could be voted in annually by local members, and you could stand for the position to get the ball rolling. That would make for a very simple but workable structure. The other alternative is a local committee, which makes things slower but give you more people to spread the work among.
